Midway University's Commencement 2024 will be held Saturday, May 11 at 11 a.m. on campus outside in the Graves Amphitheater.

Congratulations to our graduates on your upcoming milestone. We are excited to host our annual Commencement celebration to honor and recognize your achievements. Throughout the year we will update this page with the latest information and deadlines for the event.

Understanding the Steps to Graduating and Receiving Your Diploma

  1. The first step to graduating is to complete your Degree Application by the appropriate deadline. Students login to Self Service and then select Graduation Overview to access this form. If you have any questions about your credits and academic progress, please speak with your advisor.
  2. The second step is to make sure you have paid your Graduation Fee with the Business Office. All graduates pay a graduation fee for the processing of the diploma. NOTE: The graduation fee has nothing to do with participating in the Commencement ceremony.
  3. The final step is to ensure you successfully complete your academic work.

Understanding the Steps to Participating in Our Commencement Ceremony

  1. The first step is to complete the Steps to Graduate noted above.
  2. The next step is to confirm you will be participating in the Ceremony. Information is sent in the Spring semester via email and text message to all those who have completed their Degree Application in Self-Service with information on the ceremony and to RSVP to attend.
  3. Then students will need to order their cap and gown. NOTE: The Spring 2024 deadlines are March 1 for campus delivery and April 8 for home delivery. You can order your cap and gown at any time during the year if you are sure you are graduating. If circumstances change, you can use the gown the following year.

Receiving Diplomas

Diplomas will be presented to graduates at Commencement. For students not participating in the ceremony, their diplomas will be mailed to the permanent address on file. Note: If the graduation fee has not yet been paid diplomas will not be distributed or mailed.

Academic Honors and Cords
The guidelines for Academic Honors are outlined in the Academic Catalog. Honor cords will be distributed the week of Commencement once final grades are in and students who have earned them will be notified. Honor cords for Beta Beta Beta, Gamma Beta Phi, and Alpha Lambda Delta membership organizations will be given out at Academic Honors Night or an organizational meeting prior to Commencement in the Spring semester. You may not purchase your own honor cords.
Stoles
Stoles are worn around your neck on graduation day. The only officially recognized stole for Midway University graduates is the United States Veteran stole and are only available for veterans. The stoles are available for purchase through our cap and gown distributor Oak Hall. No other stoles are allowed to be worn during the commencement ceremony.

Commencement Briefing will be held via Zoom on Tuesday, May 7 at 11 a.m. The recording of this briefing will be posted and made available to those who cannot participate during the live call. More information on this will be posted and emailed to students.

Commencement Participation & Guest Registration

Confirming Participation in Ceremony

Each student eligible for graduation must complete the Commencement Registration so we know if you are planning to participate in the ceremony. The student who is graduating (not a family member) should complete the Commencement Registration Form online by April 12. If you have changes to your guest list, email ebordt@midway.edu.

Guests (Outside Commencement Option)

There are no restrictions on the number of guests you may invite for the outside ceremony. Graduates and their guests are asked to ride together and have no more than 2 vehicles. This will help us get everyone parked quickly and through the check-in process.

Guest (Inside Commencement Option)

Should the event move inside due to weather, there is a limit on the number of guests each graduate can have inside Marshall Gymnasium.

Students are allotted 4 tickets inside Marshall Gymnasium and 2 tickets inside Duthie Auditorium where the event will be live streamed. Your form submission will notify us of your guests in priority order for these tickets.

Guest registration is part of the Commencement Registration Form that each graduate must complete.

Campus Arrival & Parking

All traffic will use the farm entrance and campus security will direct you to the appropriate parking areas. Gates open and check-in will begin at 8:30 a.m. Students participating in Commencement must be lined up by 10 a.m. Graduates and their guests are asked to ride together and have no more than 2 vehicles to allow for efficient parking and rapid check-in process.

Graduates may use this phone line 859.846.5432 to call in and record the proper name pronunciation to assist the person who will read the student's name as the graduate crosses the stage during Commencement.

Receiving Diplomas
Only those students who have already paid their graduation fee and other account balances will receive their diplomas at Commencement. Please contact the Business Office with any account balance questions.

The final deadline to order regalia is March 1, 2024 (campus delivery with pick-up after April 8) and April 8, 2024 (home delivery). All graduates participating in Commencement are required to wear regalia. Our current vendor is Oak Hall.

Commencement Announcements
Students may order official Midway University Commencement announcements online with Balfour or call 800.433.0296. When ordering, they will need to know their official degree and major. Minors, emphases, concentrations, or honors can be included.

Graduation Cap Decoration Guidelines

Midway University’s Commencement ceremony is a dignified celebration of the academic achievement of its students. Decorations on the graduation cap are a representation of the pride and accomplishment for the student. In keeping with the significance of this event, the following guidelines must be followed for graduation cap decorations.

Decorations may not interfere with the attachment of the tassel to the cap or its movement from right to left.

Only the flat top of the cap may be decorated.

Decorations must not obscure anyone sitting behind the graduate and may not include lights or noise that may interfere with the ceremony.

Caps must not threaten the safety of others, include any hate speech; inappropriate, offensive, or profane language; advertisements; or any negative speech toward any individual, institution, and/or the University, its faculty, staff, or any student.

If you are unsure if your cap meets these guidelines you may contact the Office of Academic Affairs for guidance.

Any cap deemed not meeting these guidelines will not be permitted to be worn in the Commencement ceremony and may impact ability to participate in the ceremony. It will be the student’s responsibility to obtain a replacement cap should their cap be disqualified.

Photography
Commencement photos will be taken as students receive their diplomas and posed at the end of the stage. Portraits can also be taken prior to Commencement with our official photographer. More information on the schedule will be posted closer to the ceremony date. All photo galleries will be posted online for review and ordering. Hotel Accommodations
The Holiday Inn Express in Versailles, Kentucky is a partner with Midway University. They have a block of 15-20 rooms held for our Commencement weekend. Special pricing for MidwayU staff, alumni, and parents is $105 per night, based on availability. May is a busy time of the year so plan to make reservations early.

Yes, you must pay the graduation fee in order to receive your diplomas.

You may wear your own regalia though you may wish to check with Academic Affairs that you are wearing the correct color and style for your degree.

Veteran stoles are the only approved stoles for Midway University’s commencement ceremony – no other stoles are to be worn during the official ceremony.

Typically, the Commencement ceremony lasts approximately 1.5 hours – it varies depending on the number of graduates participating in the ceremony. The ceremony begins precisely at 11 a.m. with those participating in the ceremony getting lined up and organized by 10 a.m.

Yes, students who qualify for an honor cord will receive an email concerning this matter with instructions and further details.

If you have a name that is not commonly known or has a unique pronunciation, we encourage you to call 859.846.5432 in the weeks prior to the ceremony so our Vice President of Academic Affairs (or other designee) has time to practice and contact you with any further clarification.

Email commencement@midway.edu or contact the Registrar’s Office to verify you have met the graduation requirements.

Yes, your full name as it appears on your official student record will be used for the reading list of graduates. Should you have special requests on how your name is to be announced you should call 859.846.5432. Your official student record is also used to produce the printed commencement program.

Yes, academic honors are announced.

Honors are calculated based upon your GPA when all coursework is complete.

If you are taking a summer class to complete your requirements, then your honors will not be read at commencement. If earned, the final transcript will reflect the honors.

There will be an event registration email sent out in the spring semester for registering family members. If you have questions or changes, email commencement@midway.edu.

You do not need to bring your diploma; you will receive a diploma cover to carry during the ceremony. You are however welcome to bring your diploma to carry if you desire.

There is nearby street parking around campus if visitors have more than two cars. If there are any accommodations needed that request is made on the registration form which will be sent via email in the spring semester.

Flats or wedges are the recommended footwear for women. Pointed heels or small heels are problematic due to the soft ground in the amphitheater. Additionally, the amphitheater stage is stone and not a level surface. Although we have a runner in place on the stage for everyone’s safety it is best to avoid heels.

This is only required if our ceremony needs to move indoors due to inclement weather. We are restricted by the gymnasium’s capacity set by the fire marshal.  Only children ages 2 and under are allowed to sit on an adult’s lap. Any child 3 and up must be registered and will be part of the family allotment of tickets which is determined annually based on registered participants.

Yes, the event will be live streamed on the University’s YouTube channel and recorded.

Duthie Auditorium, inside the Anne Hart Raymond Building, is open for those who need to sit inside to watch the ceremony. If the event is held in the Marshall Gymnasium, Duthie Auditorium is used for overflow for guests if we reach capacity inside the gym.

The rehearsal briefing is held via Teams or Zoom. The briefing is recorded and then made available to those who cannot participate at the scheduled time.
